How to reduce counselee no-shows

Schedule an automated reminder via text or email

It’s best not to remind counselees manually, unless you have a lot of free time. I once talked with a woman who would spend a couple hours per week calling each counselee in her church to remind them about their next appointment. It’s easiest to use a tool like BibliCare to schedule a text or email reminder to be sent out a day or two before your counselees’ appointments.

Ensure that counselees do their homework before their next session (Learn How)

Counselees are less likely to miss appointments if they’ve invested time in completing their homework assignments.

Have a refundable donation policy

It is uncommon amongst biblical counselors, but some collect a refundable donation before a new counselee is assigned to a counselor. This way, if the counselee doesn’t come to their appointment (and the circumstances aren’t extenuating), the counselor can be compensated for their lost time and the counselee may be more motivated to come to their appointments.

About BibliCare
Tony’s church was using several tools to manage their counseling ministry. Over time, the counselors’ filing cabinets grew heavier, the excel sheets multiplied, and organization flew out the window. At that point, Tony decided that he needed to get coffee with a programmer named Bob. Together, they drafted up a concept for a website that would solve their problems – BibliCare. After BibliCare was created and Tony’s counseling ministry was finally running smoothly, Bob realized that other biblical counselors were likely having the same management problems that Tony had.
Today, our mission at BibliCare is to help biblical counselors spend less time managing their ministry and more time providing biblically-based counsel.
